Privacy Notice

StockGuard provides StockGuard and is the data controller for the personal information described here. We are based in South Africa and process personal information in line with the Protection of Personal Information Act (POPIA).

What we collect and why

  • Owner account details (name, email address, login credentials) — to create and secure your account. Legal basis: performance of our contract with you.
  • Shop details (business name, type, address) — to set up your StockGuard workspace. Legal basis: contract.
  • Staff details you enter (name, role, shift times, PIN stored only as an irreversible hash) — so activity, attendance and approvals can be attributed inside your shop. You are responsible for telling your staff about this; we process it on your instruction to provide the service.
  • Business records (sales, products, stock counts, discrepancies, approvals, activity log) — the core function of the service. Legal basis: contract.
  • Technical data (IP address, device and browser information, error and usage logs) — for security, fraud prevention, troubleshooting and improving the product. Legal basis: our legitimate interests.
  • Support messages — to answer your questions. Legal basis: contract and legitimate interests.

Card details are never collected or stored by us. Payment information is handled by Paddle, our Merchant of Record.

Who we share it with

  • Service providers who host and operate the platform, and who provide error monitoring and support tooling;
  • Paddle, as Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing;
  • Professional advisers such as legal and accounting providers, where needed;
  • Authorities, where we are required to do so by law.

We do not sell personal information.

Where data is stored

Our hosting and payment providers may store or process data outside South Africa. Where that happens we rely on the safeguards those providers put in place, including contractual data protection terms.

How long we keep it

We keep your account and business records for as long as your account is open, and for a reasonable period afterwards so you can return or export your history. After that, data is deleted or anonymised. Technical logs are kept for a shorter period.

Security

We use appropriate technical and organisational measures, including encryption in transit, access controls, and database rules that keep each shop's records separate. Staff PINs are stored as irreversible hashes, never as the digits themselves.

Your rights

You may ask us to give you a copy of your personal information, correct it, delete it, restrict or object to how we use it, or withdraw consent where we rely on it. Email support@stockguard.co.za and we will respond within a reasonable time, normally one month. You may also complain to the South African Information Regulator.

Cookies

StockGuard uses only essential cookies and local storage to keep you signed in, remember your light or dark theme choice, and keep the service secure. We do not use advertising cookies. You can clear these at any time in your browser settings, though doing so will sign you out.
